How much does an AI agent cost for a small business? What drives the price

Updated:

There is no single price, and be wary of anyone who gives one without asking you anything. The cost of an AI agent depends on a few factors you can know before asking for a quote.

What determines the price

These five factors explain almost all the difference between one project and another.

  • Scope: how many tasks and use cases it solves
  • Integrations: with your CRM, ERP, calendar or website
  • Channels: web, WhatsApp, voice, email
  • Usage volume: AI model costs grow with conversations
  • Later supervision and maintenance

How the cost is structured

There are usually two parts: setup (design, build, testing) and a monthly running cost (AI models, hosting, maintenance and improvements). Ask for them to be separated.

How to ask for a comparable quote

The better you describe the case, the tighter the price.

  • Which process you want to improve and how much time it takes today
  • Which tools you use and which it must connect with
  • How many queries or documents you expect per month
  • What a person should do and what the AI should do

How not to overspend

Start with a single use case, measure it and expand. A small pilot with clear results is cheaper and teaches more than a big project without measurement.

Questions to ask the provider

  • What does the price include and what not?
  • How much will it cost to run each month?
  • Who owns the code and the data?
  • What happens if I want to switch provider?
